Accounts Payable Administrator

 

Summary:

 

The AP Administrator is responsible for all activities and interactions pertaining to payment of invoices including supporting documentation.

 

Accounts Payable Administrator Job Duties:

 

  • Perform the processing, recording and reconciling of AP transactions into Microsoft Dynamics GP—an enterprise resource planning (ERP) system.

  • Reconcile processed work by verifying entries and comparing system reports to balances.

  • Charge expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.

  • Pay vendors by monitoring discount opportunities; verifying federal ID numbers; scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos; issuing stop-payments or purchase order amendments.

  • Pay employees by receiving and verifying expense reports and requests for advances; preparing checks.

  • Maintain accounting ledgers by verifying and posting account transactions.

  • Maintain organized filing system of supporting documentation.

  • Verify vendor accounts by reconciling monthly statements and related transactions.

  • Protects organization's value by keeping information confidential.

  • Assist vendors with questions; establish new accounts; maintain vendor information.

  • Identify vendors requiring 1099 statements, create, verify and disburse statements.

  • Research and resolve invoice issues with vendors when necessary.

  • Process demand checks as required.

  • Assist receptionist with phones and walk-in inquiries.

  • Other duties as assigned.

Tracking Budget Expenses, Attention to Detail, Thoroughness, Organization, Analytical, Vendor Relationships, PC Proficiency, Data Entry Skills, General Math Skills

 

Base Pay:  Pay rate flexible based on qualifications

Physical Demands Frequent -  Sitting, Standing, Walking; Occasional - Ability to lift/carry up to 25 lbs, bend at hips, kneel, squat, crouch, and reach above shoulders.
